How do you approach event planning for clients?

​Our approach to event planning is collaborative and client-centered. We take the time to understand your vision, preferences, and budget, and then work closely with you to bring your ideas to life. Whether you’re seeking a romantic proposal, a dream wedding, or a corporate gala, we’re here to make it happen.

When should I book my event?
 

Recommended Booking Times:

Event Planning Services: 3-4 months in advance

Design and Decor Services: 1-3 months in advance

Day-of Coordination: 1-2 months in advance

Wedding/Quinceanera/Special Event Planning: 1 year in advance

 

If your event date is sooner, please reach out and we’ll let you know if we can make it happen. We’ve been known to put together small events in as little as 2 weeks and decor within a few days, but we cannot guarantee availability.

If you’d like to get started early, or have a large event, like a wedding, quinceanera, or important corporate milestone, we can reserve dates up to two years in advance and can consult on events that don’t yet have a set date.

 

How do I book my event?
  1. Check our Availability using this form.
  2. Receive an email with pricing, information about our booking procedure, and a link to schedule a video or phone call to talk about your event vision, requirements, and budget, and outline how we can assist in planning your event.
  3. After our consultation, we’ll perform preliminary research to put together a quote. This process may take a few days while we figure out the best options for your style and budget.
  4. You will receive an event proposal with a quote and a contract to review. If you’d like to proceed with your booking, pay your retainer and sign the contract to secure the event date.

Absolutely! We love to travel and are available to plan destination events worldwide. Whether you’re dreaming of a romantic beach wedding, a picturesque countryside celebration, or an exotic destination getaway, we’ll be there every step of the way to ensure your event is flawless and unforgettable.

What event services do you offer?

Celebrations by Carlos offers Event Planning, Design, Decor, Rentals, and Day-Of coordination services.

With our Event Planning services, we can help manage your budget, checklist, and timeline, choose and book the perfect venue, caterer, and entertainment, and make sure every aspect of your event is carefully organized.

When we Design your event, you not only get a designer, but someone with experience in bringing their designs to life. We’ll provide ideas for backdrops, balloons, flowers, tablescapes, signage, food and drink presentation, lighting, and more, creating a cohesive style with the perfect ambience. Our Rentals, including backdrops, table linens, artificial flowers, centerpieces, food and drink serveware, accent lighting, and more help bring your event to life.

If you book Day-Of Coordination, we’ll consult with you to make sure you’ve covered all the bases, finalize vendor details, as well as be at your event to make sure you and your guests have everything you need, your itinerary runs on time, and all of the details you’ve planned come together smoothly.

Do you charge separately for your various event services?

Pick from our A La Carte service and rental menu to control your budget and get only the services that are most important to you. Alternatively, you can choose one of our packages for help with more aspects of your event. Our packages are customizable and may include only decor or planning services, or both planning and decor.

What is included in your event planning packages?

Our event planning packages are fully customizable to suit your requirements and budget. Depending on your needs, our services may include venue selection, vendor coordination, theme development, décor and design, entertainment booking, guest management, and much more. We’ll work with you to create a package that ​fits your need​s.

Absolutely! We believe that every event should reflect the unique personalities and preferences of our clients. That’s why we offer personalized services, from customizing themes and décor to curating entertainment and activities, ensuring that every detail is tailored to your vision.

Who handles my event?

Celebrations by Carlos is owned and fully operated by Carlos Villalpando. Carlos designs the event, plans logistics, and creates decor. We also have connections and partnerships with local vendors that can provide services that we do not offer, such as DJs and entertainers, catering, desserts, rentals, photographers, and more. On event dates, a staff is brought along to make sure your event is ready in time for your guests’ arrival.

It includes choosing the right decor, with elements like centerpieces, tables, chairs, linens, lounge furniture, and china. Great event design helps your event stand out and leaves a lasting impression with everyone who attends.

Why should I hire an event designer?

Hiring an event designer is the best way to make sure that the various elements of your event work together to create a unified theme. After all, you wouldn’t want plastic tables at your fancy dinner anymore than you would want nice glassware at your Wild West barbecue. When you work with Celebrations by Carlos, the planning and designing is done simultaneously to make sure all aspects of your event come together cohesively and look amazing.

What does an Event Planner do?

Event design is all about finding the right mix of aesthetic elements to bring your event to life. Event planners handle the logistical elements of your event. They work with venue management to create a floor plan that uses your space to its fullest potential and hire and coordinate with vendors such as rental services, caterers, entertainers, decorators, florists, and anyone else involved with putting your event together. They can coordinate transportation to and from event spaces, secure enough staff to handle your event needs, and coordinate parking. An experienced event planner will help  make decisions to enhance your experience planning, and your guests’  experience attending your event.
